Job Title: Human Resources/People Operations (HR/PO) Assistant

Position Summary:  The  HR/PO Assistant assists the Assistant Director of HR/PO and the Senior Director of Operations in HR/PO needs. The HR/PO Assistant also helps to develop department goals, objectives, and systems to continually improve the efficiency of the department and services performed. The Human Resources/People Operations Assistant will also work across teams to set and achieve goals related to organizational culture.

Payroll Processing/Human Resources Information System (HRIS):

 

  • Assist in the preparation and processing of payroll for employees.
  • Ensure accurate and timely distribution of salaries and benefits.
  • Address payroll-related inquiries and discrepancies.
  • Ensure supervisors approve appropriate timecards.
  • Communicate with employees regarding payroll-related matters.
  • Ensure compliance with relevant labor laws and regulations.
  • Prepare reports related to payroll and employee data.
  • Works with the Finance Department to ensure deductions and advances are processed timely.
  • Helps run organizational payroll; reconciles substitute time with teacher FTO with division assistants, ensures supervisors complete spreadsheet approval, punch change requests, etc., and monitors non-exempt employee hours/overtime, clocking in/out, etc.
  • Manage and maintain all employee files.
  • Maintain HRIS (currently Paycom) and safeguard confidential information.
  • Complete verification of employment requests.
  • Ensure completion of all onboarding/orientation for new hires.
  • Ensure completion of offboarding for departures.

Benefits Administration:

  • Perform benefits administration (claims resolution, change reporting, open enrollment, Workers Compensation, COBRA, FAMLI, FMLA, 401K, etc.).
  • Approve invoices for payment and send to the Finance Department as needed.
  • Respond to employee inquiries regarding benefits and assist in enrollment processes or direct them to the appropriate person as needed.

People Operations:

  • Ensure IT/faculty support/Licensing have updated New Hire information in their calendars.
  • Update New Hire orientation schedule.
  • Contact previous employers for verification of employment as needed.
  • Post jobs on requisite sites based on positions open.
  • Gather references on behalf of hiring managers as needed.
  • Maintain and manage files for open positions.
  • Help maintain accurate and up-to-date employee records and files in Drive.
  • Manage the onboarding and offboarding process for employees.
  • Assist in the improvement, development and implementation of HR policies and procedures.
  • Assist in the preparation and distribution of internal communications.

 

Other

  • Participates in administrative staff meetings and attends other meetings and seminars.
  • Serves as an Alternate Responsible Officer (ARO) for J-1 Visa Sponsorship and assists the visa program as needed.
  • Other duties as assigned.

  • 1-2 years’ experience in Human Resources
  • Previous experience in a school or other not-for-profit.
  • Experience with Information Systems, Microsoft Suite (especially MS Excel), Google Suite
  • Bachelor’s degree in related field
  • US Permanent Resident/US Citizen (required for J-1 Visa ARO service)

Location and Schedule:  This position would be eligible for limited remote work. This is a Full-Time Position. Employees must be based in the Denver, CO vicinity. Work hours between 8am and 5pm, M-F.
