Position Overview: 

 

The Bookkeeper provides essential bookkeeping, administrative, and clerical support. This position is responsible for maintaining accurate financial records, maintaining the general ledger, student billing and re-enrollment processes, managing accounts payable and receivable, billing for summer camp, and liaising with programs such as the Denver Preschool Program (DPP). 

 

Reports to: Business Manager and Head of School 

 

Schedule: 24 hours per week in person, as agreed upon, year round 12 month contract 

 

Key Responsibilities 

The following responsibilities include but are not limited to: 

 

School Values & Culture

Financial Operations 

  • Set up and maintain all student accounts in the school’s billing system; issue timely and accurate billing statements. 

  • Collect, record, and deposit tuition and other income; reconcile payments in billing and/or general ledger systems. 

  • Monitor and follow up on delinquent accounts; communicate with families as needed. 

  • Record all contributions (restricted and unrestricted) and miscellaneous income. 

  • Manage accounts payable: verify invoices, prepare weekly checks, and ensure timely and accurate disbursement. 

  • Reconcile bank accounts monthly. 

  • Maintain accurate records of all financial transactions (digital and hard copies). 

Enrollment & Tuition Support 

  • Assist with mailing and tracking enrollment and re-enrollment contracts and deposits. 

  • Support the financial aid process: manage documentation, assist with communication, and ensure accurate billing. 

Compliance & Reporting 

  • Collect W9 forms from vendors and distribute tax forms. 

  • Serve as the primary point of contact for the Denver Preschool Program (DPP) and the Colorado Child Care Assistance Program (CCCAP) 

School Community Support 

  • Support financial operations for school-wide events, fundraisers, the annual auction, and Paddington Family Association initiatives. 

  • Process teacher reimbursements.  

  • Maintain accurate records of classroom budgets and provide monthly updates for all budget line items.  

General Administration 

  • Provide clerical support, including word processing, answering phones, filing, copying, and responding to financial inquiries. 

  • Perform other duties as assigned by the Business Manager or Head of School. 

Qualifications & Requirements 

Education & Experience 

  • Bachelor’s degree in accounting, finance, or a related field (preferred) 

  • Experience in bookkeeping, accounting, or business office support 

  • Proficient in QuickBooks Desktop and/or QuickBooks Online

Compensation & Benefits  

  • $35-$45 per hour based on experience and education  

  • 100% employer paid benefits. Paddington pays 100% of medical, vision, dental, short term disability, and life insurance for employees who work 24 hours or more per week (cost benefit to employee is approximately $10,500)
