The Executive Assistant to the Head of School provides high-level administrative and strategic support and serves as an essential partner to the Head of School (HOS) and a key member of the school’s leadership team. This position requires exceptional professionalism, discretion, sound judgment, and a comprehensive understanding of the school’s programs, culture, and organizational structure.
Serving as a central point of coordination, the Executive Assistant facilitates communication, information flow, and relationship-building across the school community, including faculty, staff, parents, trustees, and external partners. Working in close collaboration with the Head of School, the Executive Assistant manages complex and sensitive matters, supports strategic initiatives, and develops recommendations on issues requiring confidentiality and nuanced judgment.
The Executive Assistant is expected to work independently, anticipate needs, and respond effectively to a wide range of situations across all areas of the school. This is a full-time, year-round, non-exempt staff position reporting directly to the Head of School.

Position Overview
Dawson School is seeking a highly organized and proactive Executive Assistant to the Head of School to join our dynamic team for the 2026–27 academic year.
The ideal candidate is a strategic and detail-oriented professional who will provide high-level administrative and organizational support to the Head of School, ensuring the efficient and effective operation of the Head’s office. This role requires discretion, sound judgment, and the ability to manage complex priorities while supporting school-wide initiatives.
We are looking for an enthusiastic, service-minded, and collaborative colleague who embodies Dawson School’s commitment to excellence and community. The Executive Assistant to the Head of School will play a key role in facilitating communication, coordination, and relationship-building across the school, supporting leadership efforts that help students, faculty, and families thrive.
Key Responsibilities

Executive Office Management: Manage the day-to-day operations of the Head of School’s office, including calendar management, expense reports, purchase orders, and monitoring the office budget.

Board of Trustees Liaison: Compile Board reports, draft meeting agendas, distribute materials, and coordinate logistics and travel for Board members.

Strategic Communication: Review and draft correspondence, proofread documents for the leadership team, and collect data for reports, presentations, and speeches.

Relationship Management: Serve as a trusted point of contact and sounding board for the Head of School, anticipating challenges and managing sensitive situations with discretion and diplomacy.

Event and Project Coordination: Organize employee and school functions, including the opening picnic and holiday party, coordinate leadership retreats, and oversee faculty and staff recognition programs.

Administrative Oversight, which includes the following:

Screen calls, manage incoming mail, maintain office files, and record meeting minutes as requested.

Maintain internal calendars and coordinate planning for the upcoming school year’s calendar.

Coordinate hotel accommodations for board members, guest speakers, and employment candidates.

Order and manage stationery, business cards, and name badges.
The Executive Assistant ensures the efficient and effective operation of the Head of School’s office through proactive administrative support and coordination in alignment with Dawson School’s mission.
Professional Qualifications

Bachelor’s degree required.

Minimum of five years of administrative experience, preferably in a small office or educational setting supporting senior leadership.

High proficiency with Google Workspace, with demonstrated ability to work effectively on a Mac platform; strong overall organizational and technical skills required.

Exceptional written and verbal communication skills, with a high level of professionalism, accuracy, and attention to detail in drafting, proofreading, and preparing correspondence, reports, and presentations.

Demonstrated ability to maintain strict confidentiality, serving as a trusted steward of sensitive information and a confidential sounding board for the Head of School.

Proven ability to work effectively with a diverse range of personalities and constituencies, exercising flexibility, discretion, and cultural sensitivity, and demonstrating a broad understanding of the school’s organizational structure, including parents, faculty, staff, the Board of Trustees, and the wider school community.

Exemplary time-management and organizational skills, with the ability to remain effective amid frequent interruptions, work independently with minimal supervision, anticipate needs, and solve problems resourcefully.

Strong project management skills, with the ability to support and coordinate school-wide initiatives, ensuring accountability, follow-through, and timely completion.
