Enrollment Operations Coordinator

August 3, 2026 - June 30, 2027

Montessori School of Denver (MSD), located in beautiful Colorado, is seeking a full-time Enrollment Operations Coordinator for the 2026-2027 school year. The position is set to begin August 3, 2026.

Position: The Enrollment Operations Coordinator provides administrative and operational support for the Enrollment Office managing day-to-day processes that support admissions, retention, and student records. Working closely with the Director of Enrollment Management & Tuition Assistance and the Associate Director of Admission, the Coordinator ensures enrollment and registrar operations are organized, timely, and efficient to support enrollment and retention goals.

About Our School: MSD provides an engaging, empowering, and sound Montessori educational program for students ages 2-14. Our school is accredited by the National Association of Independent Schools (NAIS), the Association of Colorado Independent Schools (ACIS), and the American Montessori Society (AMS)[1]. Founded in 1964, MSD is the oldest Montessori school in the Denver metro area. In 2015, MSD completed a comprehensive multi-million-dollar expansion plan to complement its existing facilities. A new Arts and Athletics Center, enhanced outdoor learning and play environments, a new Toddler Village, updated Middle School space, a thriving Urban Farm and one of a kind Vertical Farm, and a state-of-the-art Science and Innovation Tower were added to provide an exceptional, experiential, educational environment for all of our students.

QUALIFICATION REQUIREMENTS:

  • Bachelor’s Degree in related field or equivalent work experience.
  • Two or more years’ experience in administrative support, admissions, enrollment, registrar services, customer service, project coordination, or office operations.
  • Demonstrated ability to manage multiple projects and deadlines simultaneously.
  • Excellent organizational skills and exceptional attention to detail.
  • Strong written and verbal communication skills.
  • High level of discretion and ability to maintain confidentiality.
  • Experience working with an SIS or CRM, especially Blackbaud and Finalsite.
  • Experience coordinating events or managing administrative logistics.
  • Ability to learn new software platforms and database systems quickly.
  • Commitment to providing excellent customer service and working collaboratively as part of a team.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Admissions Operations & Support

  • Process inquiries and applications in Finalsite, track applicant progress and required documentation, and maintain applicant files.
  • Manage the Admission Office Calendar, monitoring admissions timelines and deadlines.
  • Schedule Admission tours and events, including internal and external event invites, volunteer coordination, and follow up.
  • Maintain event sign-ups and calendars, track RSVPs, and integrate event information into admission communications and templates.
  • Prepare event materials, assist with event set-up and teardown, and participate in enrollment events as needed.
  • Coordinate admission committee meetings and materials.
  • Generate routine enrollment reports and track areas for improvement in the admission pipeline.
  • Send new student offers and enrollment contracts in Finalsite and Blackbaud Enrollment Management, and ensure contracts are completed within set timelines.
  • Maintain and update admission forms, office templates, and admission timelines following ACIS requirements.
  • Update annual reference documents for each new admission cycle.

Student Records & Registrar Support

  • Send annual reenrollment contracts and manage release dates, submission deadlines, and withdrawal timelines for each family in Blackbaud Enrollment Management.
  • Maintain student files following standardized document retention policies and make adjustments to family relationships, contact information, and enrollment years as necessary.
  • Process all incoming and outgoing records requests.
  • Schedule 8th grade outplacement meetings and track application requirements for each pending graduate.
  • Maintain accurate and up-to-date student records in Blackbaud, including sending enrollment paperwork, processing withdrawals, assisting with rollover, and uploading documents.
  • Provide administrative support for licensing audits and accreditation requirements as needed (DASL, health department, etc).

Communication & Marketing Support

  • Ensure the admission forms and dates are up-to-date on the website.
  • Maintain admission resources and order admission supplies and marketing collateral for a robust pipeline of prospective families.
  • Maintain CRM email templates and coordinate automated email campaigns developed by the Enrollment Office.
  • Send enrollment and retention event invitations and follow-up surveys.
  • In collaboration with the Director of Enrollment, develop and maintain an automated drip campaign for inquiries and applicants in the CRM. 

Retention & Current Family Support

  • Work with Enrollment and Ed Team to manage classroom breakdown, program changes requests, and classroom requests.
  • Send out invitations and manage RSVPs for retention events, creating lists for follow up based on event attendance.
  • Manage sibling and new baby lists, coordinating gifts and reach-outs on an ongoing basis.
  • Track families in program transition years and attrition data across various categories, prepare retention data reports and statistical information for the Director of Enrollment Management.
  • Attend school-wide events as a committed and accessible member of the MSD community.
  • Other duties and projects as assigned to support current family retention and satisfaction.
  • Provide front desk coverage and other support as needed.

Compensation: Salary range $50-56k
