Position Summary

Aspen Country Day School seeks a strategic, highly motivated and detail-oriented Data Systems and Advancement Coordinator. This position will embrace the school’s technology tools to create an outstanding user experience for current parents,  prospective parents, faculty, students, and donors. 

The Data Systems and Advancement Coordinator is responsible for the organization, maintenance, presentation, interoperability, and analysis of the school’s data across all areas of school operations, with particular attention to academic and advancement data needs. The role is a blend of hands-on data entry and higher-level systems thinking. 

This position oversees the school’s enterprise data architecture: enrollment management system (EMS), student information system (SIS), learning management system (LMS), business office and HR platforms, communications and development databases. 

The Data Systems and Advancement Coordinator brings diplomacy and experience in complex systems to an ongoing project to improve and streamline the school’s enterprise use of technology. After a period of familiarization with existing systems, this role will help evaluate and update the school’s business practices to strengthen the way data is entered, maintained, and reported, to ensure that the school is fully utilizing its available technology.

This position will be part of an interdisciplinary team to begin implementation of an updated set of technology tools in the 2026-27 school year. During the conversion, this role will be responsible for managing data migration, establishing necessary APIs, and training platform users. After ensuring a successful rollout in 2027-28, this position will be charged with continuously monitoring and recommending improvements of data systems for subsequent years.

Salary 

The wage rate for this position will include a salary range of $60,000-$90,000 and will be commensurate with experience. 


This is a full-time position with health, dental, vision, disability insurance and retirement plan offerings. 


Essential Functions

  • Collaborate with colleagues across the school to serve data needs, with particular emphasis on collaboration with the Manager of Information and Education Technology.

  • Assist with day-to-day gift processing and maintenance of donor records, including data entry, recording, processing, and acknowledging all contributions to the school.

  • Assist with development events as a full member of the Advancement Team. 

  • Produce lists for mailings, both print & digital, nametags for events, etc. 

  • Maintain all academic records including transcripts, report cards, and records requests for students and alumni; manage assessment reporting in student information system (currently Blackbaud); manage integrations for various solutions in use at the school (such as NWEA, Acadience, Raptor, SchoolPass, IXL, Magnus Health, etc.); build and maintain daily academic schedule in collaboration with division heads.

  • Interface with the admissions/financial aid data process (currently housed in Blackbaud, Clarity, and Blackbaud Tuition Management) to improve functioning of systems and ensure clean entry of records upon enrollment. 

  • Assist in improving the functionality of systems that serve current & future customers/parents (currently Constant Contact, WordPress, ParentSquare, SmugMug, SchoolPass).

  • Maintain Blackbaud as the main “database of record” for academic and administrative use through June 2028, all while participating in data design, migration, and setup of integrations for any new platform(s) by July 1, 2028.

  • Leverage school data housed in various systems to create reports to inform school decision making.

  • Coordinate and lead orientations, workshops, and training for faculty and staff on the day-to-day use of systems and best practices for success.

  • Stay current on new trends in technology including AI, data privacy, security, and interoperability.

  • Interface with vendors as needed to resolve issues and maintain relationships.

Education, Qualifications & Experience

  • A Bachelor’s degree is required, preferably in data science, information management, or a related field.

  • Experience working with multiple platforms in an educational setting is preferred. 

  • Expertise in using Google Workspace for Education, particularly to support data management, is required. 

  • Broad understanding of non-profit fundraising and the technology tools available to development offices.

Expectations 

This is a full-time position that begins in summer 2026. The standard schedule is 7:45 am to 3:45 pm, with 2 faculty/staff meetings per month until 4:30 pm, although meetings may require additional time. Additionally, all staff members share day-to-day duties. Occasional evening and weekend commitments are required throughout the school year.
