Job Description:

St. Mary’s Academy seeks an Assistant Director of Admission, a full-time, 12-month, salaried position starting on or around October 1, 2025. This individual will play a key role in welcoming prospective families, guiding them through the admissions process, and supporting the overall goals of the Office of Admission.

The Assistant Director of Admission reports to the Director of Admissions and manages the administrative aspects of admissions—including database management, scheduling, communications, and event planning—while also serving as an engaging and knowledgeable representative of the Academy. This role requires excellent communication skills, a high degree of organization, and a warm, professional presence with families, students, alumni, and colleagues. Occasional evening and weekend work is required for admission events.

Major Duties and Responsibilities:

  • Represent the Academy as a welcoming and knowledgeable first point of contact for prospective families.
  • Manage the admissions database (Finalsite Enrollment) with accurate, up-to-date records from inquiry through acceptance.
  • Schedule and coordinate parent interviews, student visits, and tours.
  • Support enrollment processes, including distribution of new enrollment, re-enrollment, and financial aid contracts.
  • Oversee production and distribution of admissions communications—print and digital.
  • Assist in the development and implementation of admissions marketing and communications plans.
  • Maintain inventory of admissions materials, publications, and event supplies.
  • Plan and support admissions events (open houses, preview days, tours, school fairs), including registration, logistics, volunteers, and follow-up.
  • Create reports from the admissions database to track funnel progression, re-enrollment, and attrition.
  • Cultivate and maintain strong relationships with feeder schools, community organizations, and families.
  • Conduct campus tours and interviews with prospective students and families as needed.
  • Perform additional duties as assigned.
  • Actively support and uphold the mission and values of St. Mary’s Academy.

Qualifications/Requirements:

  • Bachelor’s degree required.
  • At least three years of administrative experience, ideally in independent school admissions or education-related work.
  • Strong proficiency in Google Suite and Excel; experience with Finalsite Enrollment or similar database preferred.
  • Excellent written and verbal communication skills.
  • Highly organized with strong attention to detail; ability to manage multiple projects and deadlines.
  • Self-starter who works well independently and collaboratively.
  • Warm interpersonal skills and customer-service mindset.
  • Ability to speak Spanish or another language is strongly preferred.

Salary:

The salary range for this full-time, exempt position is $60,000 - $70,000 based on experience.
