Administrative Assistant - Lower School

June 1, 2024 - June 30, 2025

CA seeks a full-time staff position which reports directly to the Lower School Principal effective June 2024. The primary role of this position is to support the principal, faculty, staff, parents, and students in the Lower School. This is a full-time, 12-month position. 

Duties and Responsibilities

  • Administrator for online student accounts for edtech. Management of single-sign-on system Clever and digital learning resources (renewals, roster setup, troubleshooting account issues)
  • Answer all phone calls; refer and transfer calls to appropriate extension
  • Assist and support Lower School Principal with projects
  • Assist Lower School Principal with the hiring process: collection and organization of applications, screening applicants, scheduling interviews, and campus visits
  • Assist with security drills and emergencies
  • Calendar management for Lower School Principal and Lower School events
  • Collaborate with Middle School and Upper School offices
  • Create schedules and signups for parent-teacher conferences, photo days, and special events
  • Demonstrate excellent communication skills to include listening, speaking, and writing thoughtfully and clearly with students, parents, and colleagues
  • Develop systems and processes to support efficiency in the Lower School Office
  • Interact with parents in a professional and personable manner
  • Maintain schedules of classrooms and specialist classes
  • Maintain student attendance records
  • Manage Blackbaud database
  • Manage copier – order supplies, request service as needed, etc.
  • Manage Google Classroom resources for faculty and staff
  • Meet and greet visitors and make them feel welcome
  • Order and manage supplies in Lower School office and faculty workroom, as well as prepare weekly snack order from Food Services
  • Prepare back-to-school packets and other periodic mailings
  • Provide support in the Health Office and administer medications to students (delegation training and certification provided)
  • Relate to students in an age-appropriate, positive manner
  • Relay messages to faculty and students
  • Responsible for student records request
  • Schedules substitutes as needed
  • Schedule and manage reservations and set-ups for special events (spaces and catering)
  • Supportive of all personnel and programs
  • Work collaboratively with colleagues (staff, faculty, administrators)

Requirements
  •  Effective and supportive communication skills 
  • Excellent oral and written communication skills
  • Manage multiple and ongoing tasks
  • Technology literacy skills (Google Suite, Microsoft Suite, and Blackbaud preferred)
  • Familiarity with Blackbaud’s SIS or a similar platform.
  • High comfort level with technology across a range of platforms.
  • Experience within educational organization(s) preferably at the Lower School level.

The pay range for the position is $25.00-$30.00 per hour. Colorado Academy reserves the right to pay more or less than the posted range. Any discrepancies that may exist do not relate to sex.
